1. About us
"Webcrawlio Data Solutions" (referred to as "we", "us" or "the team") is an independent group offering web-data extraction, dataset and API services. We are currently operating as an unregistered, early-stage team — not yet incorporated as a Private Limited Company, LLP, or registered partnership. We are actively planning and preparing for formal entity registration as soon as possible. We are also preparing a trademark application for the "Webcrawlio Data Solutions" name with IP India.
We keep our data footprint deliberately small and only collect what we genuinely need to respond to you or deliver the service.
2. Scope of this policy
This policy applies to the webcrawliosolutions.com (and any equivalent local-development URL) website and the related services we offer through it — including contact forms, newsletter sign-ups, free-trial requests, job applications and any direct correspondence over email.
It does not cover third-party websites we link to. Once you leave our site, please refer to that party's own privacy notice.
3. Information we collect
3.1 Information you give us directly
- Contact form: name, email address, company (optional), subject, and message body.
- Newsletter: email address only.
- Free-trial / API request: name, work email, company and a short description of the use case.
- Careers: name, contact details, resume/CV file, cover note, and any information you choose to include in your application.
3.2 Information we collect automatically
- Technical logs: IP address, browser user-agent, referring URL, the page you visited and the timestamp. These are written to local server logs for security and debugging purposes.
- Cookies: see section 6 below.
We do not currently use analytics suites such as Google Analytics, Hotjar, Mixpanel etc. If we add one in future this policy will be updated and the relevant cookie banner shown.
4. How we use your information
- To reply to your enquiry or fulfil a request you made (e.g. "send me a free-trial API key").
- To send the newsletter you subscribed to (you can unsubscribe at any time — link in every email).
- To review job applications you submit.
- To detect, prevent and investigate abuse of the site (brute-force login attempts, scraping, etc.).
- To improve our service based on aggregated, non-identifying observations of how the site is used.
We do not sell or rent your personal information to anyone. Full stop.
5. Sharing and third parties
Today, our infrastructure is intentionally minimal. Information you share is processed by:
- The hosting provider that runs the website server.
- The email provider we use to reply to enquiries.
- The CDN that serves common front-end assets (fonts, icons, CSS frameworks) — these vendors may see your IP address purely to deliver those assets.
We will share information with law enforcement only if compelled by valid legal process applicable to us. Because we are not yet registered in any jurisdiction, the practical reach of such requests is limited; we will still cooperate with legitimate criminal investigations in good faith.
6. Cookies and tracking
We use a small number of functional cookies only:
wspadmin— admin session cookie. Set only after you sign in to the back-office panel.- CSRF token cookie tied to forms you fill in, to protect against forged-request attacks.
We do not currently set advertising, profiling or cross-site tracking cookies.
7. Data retention
- Contact form messages: retained for up to 24 months unless you ask us to delete them sooner.
- Newsletter subscriptions: retained for as long as you remain subscribed. Unsubscribed records are kept for 30 days to suppress accidental re-sends, then deleted.
- Job applications: retained for up to 12 months from the date of application unless you ask us to delete them sooner or the relevant role is filled.
- Server logs: rotated and discarded after 90 days.
8. Your rights
Regardless of the jurisdiction you contact us from, we will honour the following on a best-effort basis:
- Right to access — ask for a copy of the data we hold about you.
- Right to correction — ask us to fix anything we got wrong.
- Right to erasure — ask us to delete your data; we will do so unless required to keep it for a clear legal or security reason.
- Right to object / restrict — ask us to stop a specific processing activity (e.g. newsletter).
- Right to portability — receive your data in a common machine-readable format.
To exercise any of these, email us at privacy@webcrawliosolutions.com. We aim to respond within 14 days.
9. Security
We apply practical security controls including TLS in transit (in production), bcrypt-hashed admin passwords, CSRF protection on every state-changing form, brute-force lockout on the admin panel, and a strict access policy on backups and database dumps.
10. Children's privacy
Our services are aimed at businesses and professionals. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has sent us their data, please contact us and we will delete it.
11. Policy changes
We will update the "Last updated" date at the top of the page whenever a material change is made. Once our formal company registration is completed, a comprehensive, legally-bound privacy policy issued under the registered legal entity will replace this interim document. For substantial changes we will notify subscribers in advance.
